The Urban Summit Brussels app is your essential digital companion for navigating the three-day event. Whether you are a first-time attendee or a returning participant, the app helps you manage your schedule, discover sessions, connect with other delegates, and receive real-time updates. This guide walks you through every feature, from downloading the app to making the most of its networking tools.

Downloading and Installing the App

The Urban Summit Brussels app is available for both iOS and Android devices. You can download it from the Apple App Store or Google Play Store by searching for “Urban Summit Brussels.” The app is free and requires approximately 150 MB of storage space. It is compatible with iOS 14.0 or later and Android 8.0 (Oreo) or later.

After installation, open the app and sign in using the email address you used when registering for the summit. If you registered via a group or organisation, check your confirmation email for a personalised link. Once signed in, you will be prompted to complete your profile – adding a photo, job title, and organisation helps other attendees recognise you.

Navigating the Home Screen

The home screen displays the current day’s schedule, top announcements, and quick access buttons to key sections. At the bottom of the screen, you will find a navigation bar with five tabs: Home, Schedule, Speakers, Exhibitors, and More. The More tab includes settings, help, and your profile.

From the home screen, you can also see a countdown to the next session, live notifications about room changes or cancellations, and a personalised “For You” feed based on your selected interests. To customise your feed, go to More > Interests and choose from categories such as Climate Adaptation, Mobility, Green Infrastructure, Urban Data, and Policy. The more interests you select, the more relevant your home screen suggestions become.

Building Your Personal Schedule

One of the most powerful features is the ability to create a personalised itinerary. Tap the Schedule tab to view the full programme, which is organised by day and time. Each session card shows the title, speakers, room location, and a brief description. To add a session to your schedule, tap the “+” icon on the card. Your selected sessions will appear under My Schedule within the same tab.

You can filter sessions by track – for example, Urban Planning, Digital Innovation, Community Engagement – or by speaker. The search bar at the top allows you to find specific keywords. If a session is full, the app will indicate it and offer a waitlist option. You can also set reminders: tap the bell icon on a session card to receive a push notification 10 minutes before it starts.

Exploring Speakers and Exhibitors

Speaker Profiles

The Speakers tab lists all confirmed speakers, including keynote presenters, panelists, and workshop facilitators. Each profile includes a biography, a photo, their organisation, and links to their social media (LinkedIn, Twitter). You can tap “Add to Contacts” to save their details for later follow-up. The app also shows which sessions each speaker is participating in, so you can plan to attend those.

Exhibitor Directory

The Exhibitors tab features a searchable directory of all organisations showcasing their work at the summit. Each listing includes a booth number (e.g., Booth B12), a company description, and contact information. You can mark exhibitors as “Favourites” to receive alerts about demonstrations or giveaways at their booths. The app also provides a map of the exhibition hall, which you can access from the More > Floor Plan section.

Networking and Connecting

The app includes built-in networking tools to help you connect with other attendees. Under the More > Networking section, you can browse the attendee list (with privacy controls – you can choose to be visible only to exhibitors or to all attendees). Send a direct message or request a meeting by tapping “Connect.” You can also scan QR codes from other attendees’ profiles to instantly add them to your contacts.

Additionally, the app features a “Match” function similar to speed networking: you can set your interests and availability, and the app will suggest attendees with overlapping interests. You can then schedule a 15-minute virtual or in-person meeting directly within the app.

Receiving Real-Time Updates and Notifications

During the summit, the app sends push notifications for important announcements: session room changes, last-minute cancellations, special events, and even weather alerts if an outdoor activity is affected. To ensure you don’t miss anything, enable notifications in your device settings and within the app under More > Settings > Notifications.

You can also opt in to receive a daily digest email summarising the next day’s highlights, but the app remains the fastest source of updates. For example, if the opening keynote is moved from Hall A to Hall C, a notification will pop up with the new location. The Home screen also shows a scrolling banner with live updates.

Using the Map and Venue Information

The app includes an interactive map of the Tour & Taxis venue, where the summit is held. You can find it under More > Venue Map. The map shows all session rooms (e.g., Room 1.1, Room 2.3), exhibition booths, restrooms, catering areas, and information desks. You can search for a specific location or tap on a room to see its schedule. The map uses your device’s GPS to show your current position (if you grant location permission), making it easy to navigate the large venue.

Personalising Your Profile and Preferences

Your profile is more than just a photo. Under More > My Profile, you can edit your name, organisation, job title, and a short bio (up to 500 characters). You can also link your LinkedIn and Twitter accounts, which will be visible to other attendees if you choose. Additionally, you can set your dietary preferences (vegetarian, vegan, gluten-free) so that catering recommendations appear.

Troubleshooting and Support

If you encounter issues with the app, first try restarting it or checking for updates in the app store. Common problems include login errors (ensure you use the email you registered with) and notification delays (check your device’s notification settings). The app also has a built-in help desk under More > Help, where you can browse FAQs or submit a ticket. During the summit, a physical help desk is located near the main entrance in Hall 1.
